Privacy Policy

This website is operated by the Pollachi Taluk Chess Players Association, a registered Society (Registrar of Societies, Coimbatore South, under the Tamil Nadu Societies Registration Act, 1975), registered office at 9, Krishnasamy Street, Near Bus Stand, Pollachi – 642001, Coimbatore District, Tamil Nadu. What we collect depends on how you use the site:

• Creating an account: your email address (verified with a one-time code), a password (stored as a secure hash, never in plain text), your full name, and optionally a phone number.
• Player profile: date of birth and, if you choose to add them, a private phone number and address — used for tournament eligibility and administration, and visible only to you and the Super Admin.
• Tournament registration: which category you register for, and parent/guardian contact details where a tournament requires them for minors.
• Membership, donations, and sponsorship enquiries: the name, contact details, and any message you provide when applying, donating, or enquiring — donations can optionally be made anonymously.
• Coach applications: your contact details, qualifications, and any supporting documents you upload; these remain private until the Executive Committee approves your application, at which point only your public coaching profile (not your private documents) becomes visible.
• Payments: tournament fees, membership fees, and donations are processed by Razorpay. We do not receive or store your card, UPI, or bank account details — Razorpay handles that directly and shares back only confirmation of payment.
• Technical data: we log IP addresses briefly to prevent abuse (for example, limiting repeated failed login attempts). We do not use analytics, advertising, or tracking cookies — see our Cookies Policy for the one cookie this site does use.

We use your information to run the services you’ve asked for — creating and securing your account, processing tournament and membership registrations, handling payments, reviewing coach applications, and responding to enquiries. We don’t sell your data, and we don’t use it for advertising.

• Razorpay, to process payments.
• Our email delivery provider, solely to send verification codes, receipts, and messages you’ve requested.
• The Super Admin and, where relevant to their role, Executive Committee members, for the Association’s ordinary administration.

We don’t share your information with anyone else without telling you, unless the law requires it.

Chess tournaments in India commonly involve players under 18. Where a tournament collects parent/guardian contact details for a minor participant, that information is used solely for tournament administration and safety, and is visible only to the Super Admin. [The Association should confirm and state here whether account creation itself is intended for the player, a parent/guardian, or either — this policy does not currently take a position on that.]

[The Association needs to decide and state its actual retention periods here — for example, how long inactive accounts, past tournament records, or old coach applications are kept before being deleted. Until this is filled in, treat retention as indefinite.]

Passwords are never stored in plain text. Sensitive pages require you to be logged in, and private information (like another player’s contact details or a member’s photo) is never shown to anyone except you and the Super Admin. Repeated failed login attempts are automatically slowed down and temporarily locked out. No method of storing or transmitting data is 100% secure, and we can’t guarantee absolute security.

You can review and correct most of your own information from your account dashboard. To request a copy of your data, ask us to correct something you can’t change yourself, or ask us to delete your account, email contact@pollachichess.org. India’s data-protection framework changed significantly with the Digital Personal Data Protection Rules, 2025 (notified November 2025), and more than one regulatory regime can apply at once depending on exactly what this site does — general data protection under the DPDP Act, and potentially the IT (Intermediary Guidelines) Rules 2021 if it’s treated as hosting user-generated content. These carry different acknowledgement and resolution timelines. [This genuinely needs a lawyer to confirm which regime(s) apply here and state the correct timeline — getting this wrong with false confidence would be worse than leaving it blank.]
